Frequently asked questions

The short answers. Your full brochure and agreement have every detail.

Location and the property

Where are you located?

In Louisa, Virginia, about 8 minutes from the Zion Crossroads exit on I-64: about 25 minutes from downtown Charlottesville, under an hour from Richmond and about 2 hours from Washington, D.C. Our address is 1658 Evergreen Rd, Louisa, VA 23093.

What's the closest airport?

Charlottesville-Albemarle Airport (CHO) is about 35 minutes away. The closest major international airports are Richmond International (RIC), a little over an hour away, and Washington Dulles (IAD), about 2 hours away.

How many guests can you host?

Up to 150 guests for a ceremony and reception, or for an event in LumeCrown Hall. The Grand Sunrise Deck holds up to 50. The 150-guest maximum is strictly enforced.

What ceremony sites and outdoor spaces do you have?

Two outdoor ceremony sites: the Arch Meadow, an open lawn with a pergola and views of the horse pastures, and Emberwood Pavilion, a secluded hollow with a pavilion and fire pit. For cocktail hour or a welcome party, there's the 1,800 sq ft Grand Sunrise Deck with treetop views, a gazebo and a built-in bar, plus LumeCrown Hall's covered porches, three-season room and 1,600 sq ft patio. Bloomway Garden is a favorite spot for portraits.

Can guests stay overnight?

Yes. The Residence sleeps up to 10 guests in five bedrooms. Two nights are included with the Wedding Weekend and three with the Estate Weekend, and Residence nights can be added to the Wedding Day or to an event. You can also book the Residence on its own. For the rest of your guests, Charlottesville is about 25 minutes away, and we're happy to share a list of nearby hotels.

Is there parking?

Yes, on site for up to 150 vehicles.

Are there restrooms?

Yes, real, climate-controlled restrooms in their own wing off LumeCrown Hall's back porch: men's, women's, an ADA-accessible family restroom and a private shower room for the wedding party.

Is the venue accessible?

Yes. Both ceremony sites and the Bridal Suite can be reached by wheelchair, though some paths have gentle slopes. LumeCrown Hall, the butler's pantry and the restrooms are on one level, and the restrooms include an ADA-accessible family restroom. Let us know about any specific needs and we'll plan the best route with you.

What is there to do nearby?

Charlottesville's Downtown Mall, the University of Virginia and Monticello are about 25 minutes away, and the area is known for its wineries. Lake Anna is under an hour away, and Shenandoah National Park, with hiking along the Blue Ridge, is about an hour to the west. On the farm, guests can rent our two pickleball courts and lawn games, and the Estate Weekend includes our private woodland and creek trails.

Spaces and setup

What happens if it rains?

Your ceremony moves indoors to LumeCrown Hall. The hall's porches and three-season room give you more than 5,200 sq ft of covered space. For Grand Sunrise Deck events, you can move into the hall, when available, at the hall rate.

Are tables and chairs included?

Yes: 150 white ceremony chairs, 150 white Chiavari reception chairs, up to 18 round 60" tables, and sweetheart, gift, cake and sign-in tables. Linens aren't included; your caterer or a rental company can provide them. Your team (your caterer, your coordinator's crew or a rental company) sets up and puts away the tables and chairs, and we'll show them where everything is stored.

Is there a place to get ready?

Yes. The Bridal Suite is a private, 2,000 sq ft getting-ready suite with vanity stations, full-length mirrors, a private bathroom, a bedroom and a fitness and wellness room. The Wedding Day includes the Preparation Lounge; the full suite is included with our weekend packages and available as an upgrade.

Can we bring our own décor?

Yes. Please supervise any candles, ask us before attaching anything to the buildings, and remove your décor before you leave. Cleanup of confetti or glitter may be charged from the security deposit.

Do you rent décor?

Yes: a portable ceremony arch, arch draping or silk floral accents, centerpieces, table runners, lanterns, a sign set and lawn games. Our team sets them up and picks them up. Custom florals and styling by Tina are available by quote.

What lighting, audio and Wi-Fi do you have?

LumeCrown Hall has chandeliers and illuminated crown molding, with preset lighting scenes that take you from ceremony to dinner to dancing and keep skin tones natural in photos. The built-in sound system comes with wireless microphones for the ceremony and speeches, and the large TV screen connects to a laptop for a slideshow or video. Wi-Fi is available on site. DJs and bands bring their own sound systems.

Can we have candles, sparklers or a fire pit?

Supervised candles are welcome, and so is a sparkler send-off outdoors, with spent sparklers dropped into a bucket of water or sand. No other open flames. The Emberwood fire pit may be used only with the venue manager's approval.

Catering and vendors

Do you provide catering?

We don't have in-house catering, so you can choose the caterer whose menu, style and budget suit you best. Your caterer must be licensed and insured and provide full service: food, guest service and bar service. We're happy to share a list of local caterers we've worked with.

Is there a prep area for our caterer?

Yes. The butler's pantry, with a sink and refrigerator, sits on the same level as LumeCrown Hall. There isn't a full commercial kitchen, so caterers usually arrive with food prepared and finish it on site.

Can we bring our own alcohol?

Yes. The venue doesn't sell alcohol, so you may provide your own, served by a licensed and insured bartending service with ID checks and no underage drinking. Your alcohol provider is responsible for the required Virginia ABC license, such as a one-day banquet license, and event insurance is required when alcohol is served.

Do you have a preferred vendor list?

We have a list of caterers, coordinators and photographers we've worked with and are glad to share it, but it's not required. You're welcome to bring the vendors who fit your vision, as long as they're licensed and insured.

Do we need a wedding coordinator?

Yes. A professional day-of coordinator, your own or one through our partner, must be on site for the whole wedding. A coordinator is included with the Estate Weekend. Our on-site venue manager works alongside them and takes care of the property.

Can we bring our own DJ or band?

Yes. DJs and bands bring their own sound systems and may not connect to the hall's built-in system.

Do we need event insurance?

If alcohol is served, yes: special event liability insurance that covers your event date (every day you're on site for weekend packages), includes host liquor liability, names Evergreen Farm at Rocky Creek as additional insured, and has limits of at least $1,000,000 per occurrence and $2,000,000 aggregate. Send proof within 30 days of booking. Your bartending service must also provide its own certificate of insurance. We recommend event insurance for all events.

What do we need to bring?

Your caterer and bartending service, a day-of coordinator (weddings), table linens and napkins, a team to set up and put away tables and chairs, and your DJ or band. We provide the chairs, tables, trash bins and bags, and the final cleaning.

Can we bring our pet?

Pets are welcome for the ceremony and photos with a designated handler, who supervises them at all times and cleans up after them. Pets need to leave the property before the reception begins. Pets aren't allowed at the Residence.

Planning your day

What kinds of events do you host?

Weddings of up to 150 guests, from a focused wedding day to a full estate weekend, as well as corporate retreats and team events, milestone celebrations and family reunions.

Can the ceremony and reception be in different spaces?

Yes. Most couples hold the ceremony at the Arch Meadow or Emberwood Pavilion, gather for cocktail hour on the porches, three-season room or patio, and move into LumeCrown Hall for the reception.

How long is the rental, and when can our vendors arrive?

The Wedding Day runs from 10:00 AM to 11:00 PM. The Wedding Weekend starts at 2:00 PM the day before and the Estate Weekend at noon the day before. Events in LumeCrown Hall are booked by the half day (4 hours) or full day (8 hours), and the Grand Sunrise Deck for up to 4 hours, with extra hours available. All times include setup and cleanup, so your vendors can arrive when your time begins.

What time does the music end?

Music and celebrations end by 10:00 PM, in line with neighborhood quiet hours.

Is a rehearsal included?

Yes. The Wedding Day includes a 1-hour rehearsal by appointment. The Wedding Weekend and Estate Weekend include unlimited rehearsal time and space for a rehearsal dinner.

How far ahead should we book?

For weddings, as early as you can, especially for Friday – Sunday dates in our peak season (April – June and September – October). For other events, weekday dates can be booked anytime and Friday – Sunday dates open 3 months ahead.

Booking and payment

How much does it cost?

Weddings start at $4,000 (venue fee for a weekday date in our value season). Events start at $1,000 (Grand Sunrise Deck, weekday, up to 4 hours). Prices do not include state and county taxes. Send us an inquiry and we'll send our full pricing and brochure.

What's included in a wedding package?

Your choice of outdoor ceremony site with an indoor backup, exclusive use of LumeCrown Hall with its lighting, audio and video, ceremony and reception chairs and tables for up to 150, the butler's pantry, restrooms, parking, two welcome signs, and an on-site venue manager. See the packages.

How do we reserve a date?

Send an inquiry, tour the estate, then reserve your date with a signed agreement and a 50% non-refundable payment. For weddings, the balance is due 60 days before your event; for other events, 30 days before. Bank transfer, Zelle or check at no added fee; credit cards with a processing fee of up to 3%.

What is your cancellation policy?

The reservation payment is non-refundable. If your plans change, talk with us about moving to another available date. Full terms are in your agreement.

Is there a security deposit?

Yes, a refundable security deposit. It's returned within 14 days after your event, minus any costs for damage, excess cleaning or policy violations, with photos and an itemized list.

Are there any hidden fees?

No. Your agreement lists everything up front: your venue fee or package, any add-ons you choose, state and county taxes, a processing fee of up to 3% if you pay by card, and a refundable security deposit. The only other charges would be for damage, excess cleaning or policy violations, deducted from the deposit with photos and an itemized list.

Can we tour the property?

Yes, by appointment. Request a tour and we'll walk the ceremony sites, LumeCrown Hall and the Residence with you.

Do you have an inaugural season offer?

Yes. As we open our inaugural season, our first 10 Founding Couples receive 15% off the venue fee, on any date, and our first 10 event hosts receive 15% off the hall or deck rental. In return, we ask permission to photograph and film your setup for our website and social media, and an honest Google review after your event.

When can we book a stay at the Residence?

Stays are a minimum of 3 nights, with check-in at 4:00 PM and check-out at 11:00 AM. Weekday stays can be booked anytime; Friday – Sunday dates open 3 months ahead. Check availability.
